Professional Immersion - L&D Support Coaching and Mentoring Administrator (m/f/x) – Brussels – MSF Belgium

CONTEXT

Within the HR department of MSF Operational Center of Brussels (OCB), the People Development Hub aims to develop MSF’s people working globally, so they have the capacity and capabilities to meet MSF’s operational needs and objectives. The People Development Hub is currently looking for a L&D Support with 2 axes: support to the Mentoring & Coaching (M&C) program and the field training. 

As the L&D Support Coaching and Mentoring Administrator Intern, you will support the Mentoring and Coaching program manager in his daily and strategic tasks. The mentoring program is offered to first time managers in our projects (both local and international staff) who want to become more confident and performant in their role. They choose to be accompanied by a senior colleague in their journey. Through a self-discovery approach, mentees find their own solutions to the job-related dilemmas faced in assignments. Coaching is offered to staff members who want to be supported related to a career development or broader performance improvement on a certain skillset not related to a specific assignment.

In parallel, you will provide an adequate, continuous and sustainable support to our staff learning and development needs. You play a key role by providing administrative support to those involved in learning activities as well as facilitating the access to those learning solutions. You also follow some specific projects/initiatives in line with this vision. You will work under the direct supervision of the LnD Support Team Leader and LnD Administrators, in the LnD Support and Deployment. 

MAIN RESPONSABILITIES

  1. Coaching & Mentoring Program
  • Receive new mentoring requests for mentoring (co-manage the email box with the program manager)
  • Keep the database up-to-date. Overview ongoing relationships and keep contact with participants
  • Conduct induction talks with new mentees 
  • Discuss with the program manager which mentors are available and could be proposed to new mentees
  • Organize and assist the OCB mentoring and coaching skills workshops (mostly digital)
  • Brainstorm with and assist the program manager and other stakeholders on improvements, ideas and initiatives regarding the program’s
    • Connection with other learning initiatives: How mentoring and coaching can be further embedded in the organization
    • Build and implement a wide communication and cooperation campaign for mentoring and coaching to reach more staff in our projects and in the international offices
    • Additional tasks linked to the People Development Hub might be proposed and developed
  • Assist the members of the unit from an administrative and technical point of view (participant registration, communication, Zoom/Team DJ, Mail box management)
  • Participate in meetings necessary for the program
  • Take on specific dossiers linked your interest and that of the unit 

 

  1. L&D Support administrator

You support the administrative and logistics follow-up of learning initiatives organized by MSF. You will orient the learner towards to most appropriate learning solution.

  • Manage all the training administration for participants before / during / after the training sessions
    • Send out learning event announcements to the corresponding target group
    • Develop and follow on the application procedure
    • Manage Travel bookings of participants by being in close contact with our internal travel agency
    • Follow-up Schengen visa: provide participants with the necessary documents
    • Ensure encoding of the participants in the HR Database
  • Act as focal point for all learning related questions for Projects Staff
    • Ensure a perfect understanding of the MSF Learning offer and can link it to the Career path for projects staff
    • Provide info and guidance to staff on all MSF learning opportunities
  • Other activities:
    • Facilitate the access to the learning offer for all staff
      • Ensure regular communication on the learning offer
      • Develop and update the Course catalogue and the Intranet for the People Development Hub
    • Ensure the technical facilitation to identified learning events
    • Participate to LnD Support Team meetings and other as needed

REQUIREMENTS

Education & Expérience

  • Higher education diploma in the field of HR and/or Administration is an asset

  • Excellent knowledge of the Office 365 package (including Forms, Onedrive, Sharepoint)

CONDITIONS

  • Expected starting date: Mid June 2024
  • Location: Brussels (Belgium)
  • Contract type*: Professional Immersion Agreement (Convention d’Immersion Professionelle / Beroepsinlevingsstage) – Full time 
    * Professional immersion agreement for young job seekers that entitles you to an allowance (Convention d’immersion professionelle / Beroepsinlevingsstage). This agreement is a work placement agreement concluded on a voluntary basis between you and your employer.  
  • Contract Duration: 6 Months
