CONTEXT
The Human Resources Department at MSF Belgium supports the organisation in delivering high-quality HR services to staff at the Head Office and in countries of operation. The HR Assistant plays a key role in ensuring accurate administrative processes and data integrity within HR operations.
As HR Assistant, you provide essential support to HR operations at headquarters focusing on precise execution of administrative processes and reliable handling of employee and volunteer intern data You ensure accurate records documentation and internal coordination of onboarding offboarding and structural changes You are a key support to the HR Partner and Senior HR Partner in maintaining consistent high-quality HR services and compliance with internal procedures.
MAIN RESPONSIBILITIES
- Process HR documentation related to job changes (“DE-process”), contract follow-up, onboarding/offboarding, and file updates, to ensure smooth transitions and maintain administrative compliance
- Maintain accurate employee records in HRIS and assist with org chart updates, to support real-time data accuracy and informed HR decision-making
- Handle the administrative onboarding of interns and volunteers, including data entry, pre-briefings, and coordination with the Volunteer Coordinator, to facilitate a smooth and welcoming integration experience
- Compile staffing indicators and dashboards (headcount, turnover, absences) for internal use, to provide timely and actionable insights for HR reporting and planning
- Ensure data accuracy in HR systems and contribute to identifying gaps or inconsistencies, to improve data integrity and reduce administrative risk
- Serve as first-line contact for staff and managers on HR-related questions and documents, to provide reliable and timely support and enhance employee satisfaction
- Schedule meetings and ensure logistical coordination for HR events and sessions, to enable efficient and well-organized team operations
- Assist in the logistics and documentation of Works Council and Prevention Committee meetings, to ensure smooth coordination and compliance with formal procedures
- Provide support to project-based HR initiatives, to enhance HR awareness and to help deliver results that enhance organizational culture and engagement
REQUIREMENTS
Education and Experience
- Bachelor's degree in human resources, law, Business Administration, Office Management or equivalent experience
- Previous experience in HR administration or similar roles is an asset
Competencies
- Proficiency in Microsoft Office Suite willingness to learn HRIS tools
- Strong organisational skills and attention to detail
- Excellent communication skills (clear, confident, and approachable)
- Ability to prioritise tasks and meet deadlines
- Service-oriented and proactive approach
Languages
- Proficiency in French and English spoken and written is mandatory
- Knowledge of Dutch is an asset
CONDITIONS
- Expected starting date: February - March 2026
- Location: Brussels (Belgium)*
*Due to legal administrative constraints, given the duration of the contract, candidates must already have the permanent right as Belgian or EU national, and/or valid work permit with mention of "Unlimited access to the labor market" to work in Belgium
