Médecins Sans Frontières (MSF) is an international humanitarian aid organization that provides assistance in more than 70 countries to populations in distress, to victims of natural or human-caused disasters and to victims of armed conflicts, without discrimination and irrespective of origin, religion, creed or political affiliation.
Internal HR Content Intern (m/f/x) – Location – MSF Belgium
CONTEXT
Information & Knowledge Management (IKM) has been integrated in the OCB 2020-2025 Strategic Orientations as a key axis to work on.
Because of its key role in undertaking a strong Information and Knowledge Management culture, the Human Resources Department has included IKM initiatives and projects as part of their strategic goals in order to improve related practices, as much as to build greater transversality.
The HR department is now seeking support for its IKM activities. This is a critical area of work to support the organization and the accessibility of information at all levels, especially for staff working in our countries of operations.
One of the key IKM initiatives for the HR department in the next months is the migration of the HR knowledge base to the new OCB intranet platform, to have a central and common place for staff to access information.
MAIN RESPONSIBILITIES
- The objective of the internship is to migrate from the HR Knowledge Base (on Sherlog) to the MSF OCB Intranet (on SharePoint).
- In order to do this, you will need to:
- Understand the requirements: Collaborate with SMEs (Subject Management Experts) from the HR department to ensure MSF-OCB Intranet compatibility with HR needs
- Design Content Structure: Develop a user-friendly structure and interface for the HR Knowledge Base on the Intranet to meet departmental needs
- Pilot and Execute Migration: Conduct test migrations, resolve issues, and perform full migration while ensuring data integrity and consistency
- Support SMEs during the migration together with the Intranet team
REQUIREMENTS
Education & Experience
- Education: Bachelor’s degree in information management, Communications, Archiving, Computer Science, or a related field. Academic background in Information Knowledge management, administration, graphic design, or communication
- Experience with metadata management and data cleansing is an asset
Competencies
- Proficiency in Microsoft SharePoint, including site architecture and configuration. Proficiency in Office 365
- Demonstrate creativity and the use of communication tools and practices
- Ability to adapt quickly and respond to changing work situations and priorities
- Effective communication, problem-solving and analytical skills
- Ability to work collaboratively and proactively
Languages
- Fluency in written and spoken English
- Good knowledge of French is an asset
CONDITIONS
- Expected starting date: As soon as possible
- Location*: Brussels (Belgium)
*Due to legal administrative constraints, candidates must already be resident in Belgium or have a residence right as a student in Belgium or in the European Union allowing to move and study in the EU and with the willingness to relocate in Belgium at their own costs
- Position type: Internship (unpaid) - Registered student with mandatory internship under school/university convention
- Internship duration: Minimum 3months (ideally 5-6 months)
- Time allocation: preferably Full-time
- 100% reimbursement for public transportation costs in Belgium, and 7 EUR/day worked in the office to cover lunch costs
